Elemental Crossroads ("EC," "we," "us") is a men's health support program operated by Adam Hutchison, L.Ac., based in Carbondale, Colorado. Because this program involves your personal health information, we hold ourselves to the privacy and security standards established under the Health Insurance Portability and Accountability Act (HIPAA), regardless of whether a given activity legally requires it. Your health information is treated as confidential, always.

This policy explains what we collect, why, how it is protected, and the rights you have.

1. Information We Collect

Application and account information. When you apply to join, we collect your name, email address, and your responses to application questions, which may include information about your health, lifestyle, and personal goals.

Health information. As a member, you may share health intake forms, symptom descriptions, health history, photographs (such as tongue images used in Chinese medicine assessment), and ongoing updates about your condition. This information is used solely to provide your herbal consultations and formulations.

Payment and shipping information. Payment is processed by third-party payment processors; we do not store your full credit card number. We collect your shipping address to send herbal formulations.

Community participation. Group communication takes place through Signal, an end-to-end encrypted messaging platform. What you choose to share in the community is visible to other members. We do not record, export, or repurpose community conversations.

Website usage. Our website (hosted on Squarespace) may collect standard analytics data such as browser type, pages visited, and approximate location. We do not use this data to identify you personally.

2. How We Use Your Information

We use your information only to:

  • Review your application and communicate with you about the program

  • Provide individualized herbal consultation, formulation, and adjustment

  • Ship herbal formulas to you

  • Deliver program content, emails, and seasonal gathering information

  • Maintain the safety and integrity of the member community

  • Comply with legal and professional obligations

We do not sell your personal information. We do not share your health information with advertisers, data brokers, or any third party for marketing purposes. We do not use your health information for any purpose other than your care and the operation of this program.

3. How Your Health Information Is Protected

Your health information is handled according to the following standards:

  • Confidentiality. Your health details are accessible only to Adam Hutchison, L.Ac., and are never disclosed to other members, partners, or outside parties without your written authorization, except as required by law.

  • Minimum necessary. We collect and use only the information needed to provide your care.

  • Secure storage. Health records are stored in access-controlled, encrypted systems. Paper records, if any, are kept in locked storage.

  • Secure transmission. We ask that you share sensitive health details through designated secure channels rather than standard email or public community spaces. Community communication occurs via Signal, which is end-to-end encrypted.

  • No marketing use. Your health information is never used in testimonials, marketing, or promotional material without your explicit, written, revocable authorization.

4. Third-Party Service Providers

To operate this program, we use a small number of service providers, each of which receives only the information necessary to perform its function:

  • Squarespace — website hosting and member content delivery

  • Typeform — application forms

  • MailerLite — email communication

  • Vimeo — video content hosting

  • Signal — member community messaging (end-to-end encrypted)

  • Payment processors — billing (e.g., Stripe or Squarespace Payments)

  • Shipping carriers — delivery of herbal formulations

These providers are contractually or by policy restricted from using your information for their own purposes. We encourage you to review their privacy policies. Where a provider will handle identifiable health information on our behalf, we require appropriate confidentiality and data protection commitments before using them.

5. Your Rights

You have the right to:

  • Access the personal and health information we hold about you, and receive a copy

  • Correct information that is inaccurate or incomplete

  • Request deletion of your information, subject to record-keeping requirements that apply to health practitioners

  • Restrict or object to certain uses of your information

  • Withdraw consent to communications at any time (every email includes an unsubscribe option)

  • Receive an accounting of any disclosures of your health information

Colorado residents may have additional rights under the Colorado Privacy Act. We honor these rights for all members regardless of residence.

6. Data Retention

We retain health records in accordance with Colorado requirements for licensed acupuncturists, and other personal information only as long as needed for the purposes described in this policy. When information is no longer needed, it is securely deleted or destroyed.

If you leave the program, your community access ends, your email subscription can be cancelled at any time, and your health records are retained only as required by professional record-keeping obligations.

7. Security and Breach Notification

We use administrative, technical, and physical safeguards to protect your information, including encryption, access controls, and secure devices. No system is perfectly secure; in the event of a breach affecting your unsecured personal or health information, we will notify you promptly and in accordance with applicable law, including the timelines established under federal breach notification standards.

8. What This Program Is Not

Elemental Crossroads provides wellness education and traditional Chinese herbal support. It is not insurance-based medical care, and your information here is never shared with insurance companies, employers, or government health databases. Participation does not create a physician-patient relationship.

9. Children's Privacy

Elemental Crossroads is for adults. We do not knowingly collect information from anyone under 18. If we learn that we have, we will delete it.

10. Changes to This Policy

If we make material changes to this policy, we will notify members by email and update the date above. Continued participation after notice constitutes acceptance of the updated policy.
